Hotel Revenue Management Software: What It Does and What to Check Before You Choose

Hotel revenue management software sets and updates room rates using your own booking data, your competitors' prices and the rules you decide. For a hotel in Bali, the question is rarely whether pricing matters. It is whether someone has time to look at every date, every room type and every channel, every day. This guide explains what hotel revenue management software does, what it should not do, and what to check before you choose one.

What hotel revenue management software does

The software repeats the routine a good revenue manager would do by hand, but for every future date at once:

  1. It reads what is on the books from your PMS: rooms sold, room types, rates and when each booking came in.
  2. It reads competitor rates from a rate shopper, so it knows the market around each date.
  3. It compares booking pace with past patterns to see whether a date is ahead or behind.
  4. It suggests or sets a rate inside the limits you defined.
  5. It sends the new rate to your channel manager, which updates the channels.

The value is not one clever price. The value is that the routine runs every day, including on the dates nobody had time to open.

What it should not do

Good software does not replace your judgement about your own hotel. It should not:

  • Price below a floor you set, even on a slow date.
  • Move a rate further in one day than you allow.
  • Copy a competitor's lowest rate automatically. Competitor rates are one input among several.
  • Change prices without telling you why.

If a system cannot show you the reason behind a rate change, you will stop trusting it. Then you will end up overriding it by hand.

The rules you should control

The hotel should decide the rules before any rate moves. At minimum:

  • Floor and ceiling per room type, so prices stay inside a range you are comfortable with.
  • Maximum daily change, so a rate does not swing sharply overnight.
  • Room type differentials, so a pool villa always stays above a garden room.
  • Seasons and events, so known high-demand dates are not priced like ordinary ones.
  • Approval mode, so you can choose between reviewing each change and letting the system run within the rules.

These rules are where your knowledge of the property goes in. The software then works inside them.

Questions to ask in a demo

A demo is the best time to test whether a tool fits how you work. Ask these questions:

  1. Which data does it read, and how often? Where do bookings and competitor rates come from?
  2. Can I see, for one date, why the rate changed?
  3. What happens if a connection fails? Does it keep pushing old rates, or does it stop and alert someone?
  4. Can I approve changes first, then switch to automatic once I trust it?
  5. How does it handle several room types, or several properties?
  6. What does the daily report show, and who receives it?
  7. How is the price of the software calculated? Expect it to depend on rooms, properties and modules.

Be careful with vague answers about where the numbers come from. A recommendation is only as good as the data behind it.

Signs a hotel is ready for revenue management software

Not every property needs it on day one. These are common signs that it is time:

  • Rates change only a few times a month, mostly when someone remembers.
  • Weekends and weekdays are priced the same, or the gap between them never changes.
  • Some dates sell out far in advance at rates that later look low.
  • Other dates get a last-minute discount because nobody noticed they were behind.
  • The person setting rates also runs operations, sales or the front office.

If several of these are true, the problem is usually time and consistency, not knowledge.

How to evaluate it without risk

Watch the software work on realistic data before you connect your own systems. Revbot offers a free 7-day demo account on Sanur Bay Resort, a demo hotel with realistic sample data. You can open the calendar, read the pickup, change a rule and see what the system would do. Use the questions above as your test script during those seven days.

Checklist: choosing hotel revenue management software

  • Write down your floor and ceiling per room type before you start.
  • Decide your maximum daily rate change.
  • Ask where bookings and competitor rates come from, and how often they update.
  • Check that every rate change comes with a reason you can read.
  • Confirm you can start in approval mode.
  • Ask what happens when a connection fails.
  • Test the daily report: is it short enough to read every morning?
  • Spend the demo week on real tasks, not only a guided tour.
